Overview
Pharmaceutical Research and Manufacturers of America (PhRMA) is seeking a Senior Administrator for its Human Resources team to support recruitment, onboarding, employee experience, offboarding and administrative support. The Senior Administrator will report to the Senior Director of Talent Acquisition with a dotted line to the Deputy Vice President of Human Resources and will work closely with the HR team and colleagues across PhRMA.
The Senior Administrator will be responsible for:
Recruitment Coordination:
- Heavy scheduling including communication with recruiters, candidates, hiring managers and interviewers to schedule in-person and virtual interviews, feedback loops, and other recruitment sessions
- Greet candidates for in person interviews
- Maintain daily and weekly recruitment reports; assist with gathering information for presentations and other correspondence
- Manage job postings on required job boards and PhRMA sites
- Coordinate PhRMA’s participation in external recruitment events
Onboarding Coordination:
- Initiate candidate background checks with external vendor and submit flagged reports for review as needed
- Coordinate with new manager, IT and facilities for new-hire orientation, office set-up, and onboarding schedules
- ADP New Hire data entry
Employee Experience Coordination:
- Support the internship program by partnering with the events department to coordinate on-site events such as receptions, lunch-and-learn sessions, and professional development workshops
- Support HR processes including talent planning, promotions, award programs, compensation planning, BetterHelp enrollment/terminations, and employment verifications
- Compliance coordination to include posting labor posters on PhRMA Inside and in the office (in partnership with facilities and external company)
Offboarding Coordination:
- Exit notifications
- Support offboarding including, COBRA and insurance notices, track employee checklists, schedule offboarding meetings
Administrative Support:
- Administrative support for the Chief People and Culture Officer including proactively reviewing calendars to ensure logistics are in place for upcoming meetings
- HR team weekly meeting agenda items
Key Success Factors
PhRMA seeks a collaborative, proactive, self-starter who is passionate about contributing to the healthcare challenges we face today. This is a visible position and is both internally and externally facing. Key success factors for this role include strong organization and execution skills as well as a team focus and collaboration skills. The preferred candidate will be organized and have experience in recruitment coordination and human resources support. Candidate should be adaptable, able to prioritize and shift gears quickly, comfortable in a high-pressure environment and be diplomatic, responsive, and mature.
Professional Experience / Requirements
- Bachelor’s degree in Human Resources or related field.
- Minimum of 4 years of experience in grassroots mobilization, coalition development and/or public affairs.
- Strong organizational and scheduling skills.
Potential Salary
$65,100-87,900 per annum. Salary is commensurate with experience and other compensable factors.
