McGuireWoods LLP has an opening for a Litigation Practice Assistant to join the Financial Services & Securities Enforcement and Regulatory & Compliance groups in our Charlotte, NC office. The Practice Assistant will support partners with legal and administrative tasks such as time entry/billing, calendaring, travel arrangements, opening and closing of files, meeting/conference scheduling, document management, e-filing in both state and federal courts, and other special projects. The ideal candidate will have strong organizational skills, demonstrate a keen attention to detail, and will be service and team oriented.

Responsibilities:- Manage documents: upload documents to the document management system(DMS); scan, save to DMS and distribute matter-related hard copy correspondence.
- Organize and maintainmatter files, retrievematter files, and prepare files for closing in accordance with Records Department procedures.
- Manage attorneys' calendars, coordinate meetings, schedule conference rooms, and makes travel arrangements as required.
- Handle conflicts requests and the opening of new matters.
- Prepare, edit and formatlegal documents.
- Organize and maintain case files, retrieve case files, and prepare files for closing in accordance with Records Department procedures
- Prepare closing documents, signature pages and binders.
- Assists with billing process to include entering attorney time, reviewing pro formas (initiates transfers), editing and preparing draft/final bills and cover letters for clients.
- Prepare expense reimbursements, time entries and handle various billing matters.
- Preferred 3 or more years of experience in a legal environment.
- Must have experience with e-filing in both state and federal courts.
- Proficient in Microsoft Office and Elite/Intapp (or other comparable time and billing software).
- Strong organizational skills with the ability to multitask in a fast paced environment.
- Keen attention to detail with the ability to meticulously format and edit legal documents and correspondence.
- Excellent communication skills and the ability to adapt quickly to changing environment/demands.
