Overview
Repligen is currently looking for an Executive Assistant to report to the Chief Operating Officer and provide support to members of our Executive Leadership team. The ideal candidate will be a proactive problem solver with exceptional communication skills, strong organization skills and meticulous attention to detail. The ideal candidate will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communications, administrative and organizational skills and the ability to maintain a realistic balance among multiple priorities. This role is expected to maintain confidentiality at all times. This role is expected to work in the office 3-4 days a week.
Responsibilities
- Provide dedicated administrative support to members of the Senior Leadership team.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Manage professional scheduling for dedicated Leadership team members including agendas, mail, phone calls, travel and other customer logistics.
- Coordinate complex scheduling and calendar management, as well as content and flow of information to Senior Executives.
- Represent Repligen and the Executive team in a positive light through great follow-through skills and sound judgment.
- Manage senior executives’ travel logistics and activities, including accommodations, transportation and meals.
- Provide administrative and office support. This could include drafting letters, memos, processing invoices, reviewing or creating reports or other documents for the Leadership team.
- Maintain professionalism and strict confidentiality with all materials.
- Organize team communications and plan events, both internal and off-site.
- Maintains records, orders supplies.
- Performs additional duties as assigned.
Qualifications
- Associates degree or equivalent experience required
- 5+ years of experience in an administrative role reporting directly to senior management
- Ability to maintain confidentiality of information related to the company and its employees
- Excellent written and verbal communications
- Ability to operate in a high paced global environment
- Strong time-management skills and the ability to organize and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for l earning new software and systems
- Flexible team player, willing to adapt to changes
- Proven capabilities with Microsoft Office tools (Word, PPT, Excel, etc.)
- Ability to problem solve and act with a sense of urgency
- Ability to work flexible hours as dictated by the needs of the business for projects and meetings
