Job Description:
As an Event and Community Coordinator at Amplified Digital Agency, you will play a crucial role in driving the success of our healthcare-focused event marketing efforts. With your high-energy, proactive approach, you'll manage all aspects of event planning from concept to execution, delivering exceptional experiences for our clients. You'll collaborate with healthcare providers, vendors, and our internal team to bring their visions to life. Additionally, you will focus on raising brand awareness in our communities, increasing patient volume, and building our social media presence.

Key Responsibilities:

Event Planning:
  • Identify, research, and secure 10-15 large, mid-scale, and free events across Illinois and Northwest Indiana every month. Coordinate all communications with vendors and manage the end-to-end execution of the event plan. After each event, ensure payments are made to the respective vendors, then complete a post-event recap and presentation to highlight the event's ROI and reach.
  • Develop creative event concepts and plans for sponsorships, charity events, in-house events, expos, trade shows, and local neighborhood activations in an effort to increase brand awareness, community engagement, and help drive patient volume to our urgent care locations.
  • Coordinate new store grand openings with local community members, chambers of commerce, and MEC staff, ensuring cities are aware of our new locations to maximize brand awareness.
Business Networking:
  • Establish partnerships with local businesses to enhance brand visibility and drive traffic.
  • Pass out flyers, swag, brand awareness brochures to foster community relationships in the areas we serve
Budget Management:
  • Create and oversee event budgets, ensuring cost-efficiency while meeting client needs.
  • Organize receipts and invoices associated with event expenses.
Post-Event Evaluation:
  • Conduct post-event assessments to gather feedback, measure ROI, and identify improvements.
  • Provide monthly and weekly reports.
Vendor Coordination:
  • Source, negotiate, and manage vendors, including swag suppliers, healthcare experts, and venues.
Logistics Management:
  • Handle logistical details, such as venue selection, equipment setup, accommodations, transportation, marketing materials, and security.
Timeline Management:
  • Develop and maintain event timelines to ensure timely execution of all activities.
  • Manage personal tasks, field days, travel, and assignments as directed by the manager.
  • Ensure deadlines are met and communicated.
On-Site Management:
  • Lead on-site event coordination, troubleshooting any issues to ensure smooth execution.
Client Communication:
  • Maintain organized, clear communication with internal teams, providing updates on event progress and addressing concerns.
Team Collaboration:
  • Work closely with cross-functional teams, including marketing, design, and healthcare operations, for seamless event execution.
Physical Requirements:
  • Willingness to wear a heavy mascot outfit and transport marketing materials.
  • Ability to lift 50+ lbs. as needed for event equipment (tables, tents, swag boxes, chairs, signs).
Social Media:
  • Capture engaging content during events for social media platforms.
Strategic Participation:
  • Participate actively in ideation and strategic brainstorming for marketing initiatives.
Administrative Tasks:
  • Manage all administrative tasks for event projects, including quality assurance checks, reputation management, social content, clinic operations, creative requests, and creating marketing materials.
  • Oversee inventory management for marketing supplies, including event transport and tracking.
Qualifications:
  • Bachelor's degree in Event Management, Healthcare Administration, Marketing, or a related field (preferred).
  • Proven experience in event planning and management, ideally in healthcare or urgent care.
  • Strong organizational, time management, and multitasking skills.
  • Proficiency in event planning software and tools.
  • Ability to work under pressure and meet tight deadlines.
  • Willingness to work evenings and weekends as needed.
  • Must have a vehicle and be willing to travel up to 70% throughout Illinois and Northwest Indiana.
Additional Information:
  • This role is remote and flexible but will require some evenings and weekends based on event schedules.
  • Compensation days and time off will be adjusted accordingly.
