You will provide Executive level support to the US Gulf Coast Business Management Leadership Team, ensuring day-to-day operations run smoothly through excellent and proactive administrative support. You also play an important role in creating a positive, high energy, vibrant working environment. This role would provide back up support to the US Gulf Coast Business Management GM who also holds the title of President, Shell Chemicals, LP, with regional as well as global reach.
Amongst others, the below activities are carried by any level of PA and will vary in complexity depending on the Leader supported. Such a role is a flexible resource; as such, dimensions may not be fixed, and project scope will vary based on organizational agenda and experience level of individual.
What you'll be doing
Agenda and Scheduling Management e.g. monitoring, managing, sorting, or routing messages, emails, to respective parties.
Travel arrangements i.e. (incl. required preparations for travel location such as visa requirements, and organizing local matters).
Organizing/coordinating events in/outside Shell offices e.g. for social events, conferences, workshops, meetings, lunches, trainings, talks. These events usually require the job holder to research venues, negotiate with 3rd parties and undertake costing activities. Accountable for full administration before/during/after the event.
Visitor arrangements - making arrangements for visitor(s) at the office, which includes preparing the agenda, organising site access, greeting and escorting the visitor(s);
Finance management e.g. maintenance of accounts, assisting to verify invoices related to the department, supporting the budgeting process and any other data analysis.
Publishing e.g. coordinating printing of conference papers, reports, news forum, newsletter and website.
General office management e.g. assisting to prepare documents, reports, presentations; preparing meeting minutes (outcomes, action plans, follow up); drafting routine letters; on-boarding new staff in the department or office
What you bring
Must have legal authorization to work in the US on a full-time basis for anyone other than current employer.
Bachelor's degree preferred
At least 3 years of relevant working experience, preferably within a similar industry
Ability to multi-task, set priorities, work independently, efficiently, and manage high workload to tight timelines is critical.
Restricted/Sensitive information to be treated with a high degree of confidentiality.
Professional, flexible, proactive, and tactful attitude is essential.
Excellent interpersonal, communication and team working skills while face to face and via email/IM/phone, with the ability to establish positive relationships at all levels.
Eye for detail when completing tasks
Proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence and events.
Experience in corporate/global and cross-cultural environments required.
Advanced computer literacy in various applications, activities and programs (ex: Microsoft Office, Outlook & Outlook Calendar, SharePoint, Microsoft Teams, Skype, Concur, Corporate Travel, etc.).
Excellent English language skills.
What we offer
The base salary range for this position is $46,000 - $68,000 per year. Individual pay will be based on various factors, such as relevant work experience, education, certifications, skill level, seniority, and internal equity.
For regular full-time or regular part-time employees of the Company (participating companies as listed in the Summary Plan Description), insurance coverage options include medical, dental, vision coverage, life Insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs. Employees also participate in a company pension plan and a 401(k) plan. Paid leave includes up to 6 weeks of paid vacation time, up to 11 paid holidays, and parental leave offering 16 weeks of paid leave for birthing parents, and 8 weeks of paid leave for non-birthing parents.
Additionally, employees are eligible for short-term disability leave for up to 26 weeks at 100% or 50% of base pay as well as Long-Term Disability insurance. Shell also offers other compensation such financial reimbursement for adoption, wellness, education, and personal learning expenses, and some roles are eligible for discretionary long-term incentives. For interns, eligible benefits include medical, dental, and vision coverage, life insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs; participation in a 401(k) plan; and paid leave for up to 11 paid holidays.
